Privacy policy

Last updated November 3, 2026

This policy is a draft for early access. We will review it again before paid plans open.

Workup Desk is a workspace where doctors assess patients from their records. This page covers the public website and the waitlist: what we collect when you visit or sign up, which kinds of services handle it, and what you can ask us to do with it.

Who this applies to

This policy covers the Workup Desk website, the waitlist and any email you send us. Workup Desk is a product name of Kaine Ventures LLC, a Texas limited liability company, which is responsible for the data this policy describes.

The product itself is covered by the agreement each organization signs with us. The section on patient data below explains how that will work.

What we collect

If you join the waitlist. We store your email address and the country your connection comes from. Our hosting provider works the country out from your IP address; we do not keep the IP address. With the signup we also store the page you submitted from, the site that referred you, any campaign tags in the link, your browser's language, which form you used and the time. We keep this in our waitlist system and in our product analytics provider. We use your email to confirm your signup, to send your early access invite and to send occasional updates about Workup Desk. Every email has an unsubscribe link. Write to hello@workupdesk.com and we delete your signup from both.

If you answer the questions after signing up. These are optional. We store what describes you, where you see patients, what you use today, whether you would start with de-identified cases, and the name, practice or hospital and specialty you choose to give. We use them to decide whom to invite first. Our analytics provider receives only the choices you tapped, never your name, organization or specialty. Never enter patient information in these fields.

Product analytics. We count page views and a few interactions through our analytics provider, served from this domain. The site sets no analytics cookie and stores no analytics identifier in your browser, so each visit stays anonymous unless you join the waitlist.

Email you send us. We keep your address, your message and anything you attach so we can answer and follow up.

Ordinary server logs. Our hosting provider records the IP address, browser user agent, requested address and time of each request for security and debugging.

What we do not collect

The website never asks for patient information, and the free calculators keep what you type in your browser. Please do not send patient details to us by email. We set no advertising identifiers, use no ad network pixels and sell no data to anyone.

Services that process data for us

We use service providers for website hosting, the waitlist and its email, and product analytics. They process data only on our instructions in order to run the website and the waitlist. To get the current list of named providers, write to hello@workupdesk.com.

Cookies and browser storage

The public website sets no analytics or advertising cookies. If you pick a currency in the footer, a cookie remembers that choice for a year; choosing "By location" removes it. Your light or dark theme choice is kept in your browser's local storage.

How the product will handle patient data

The organization using Workup Desk, such as a practice or a hospital, decides what patient data goes in and why. It is the controller of that data, and we process it only to run the service for that organization.

Organizations should add identifiable patient data only once a data processing agreement for their jurisdiction is in place with us. Until then, work with de-identified or made-up cases.

Patient data stays in the organization's account. The server checks each person's permission on every patient workspace before it returns anything, and nothing reaches a record until a doctor has edited the draft and exported it.

We do not use patient data to train AI models. To draft a document or answer a question, the product sends the relevant sources to an AI model provider. The data processing agreement names those providers and the terms that govern their use of the data.

How long we keep things

We keep a waitlist signup until early access closes or until you ask us to remove it, whichever comes first. We keep email you send us for as long as the conversation needs. Our hosting provider keeps server logs for a short operational window and then deletes them.

What you can ask for

Write to hello@workupdesk.com to ask for a copy of what we hold about you, a correction or a deletion. Removing a waitlist signup needs nothing more than the email address you used. Depending on where you live, the law may give you further rights, and you can complain to your local data protection authority.

Children

Workup Desk is a tool for doctors at work. It is not directed at children and we do not knowingly collect data from them.

Changes to this policy

When this policy changes in a way that matters, the date at the top changes with it, and we tell people on the waitlist by email.
